Workspaces

A Workspace is an office. Its Conversations are the meeting rooms. The office holds everything a team, project or customer works with – the meeting rooms only the part a topic needs. Change the office, and the documents of the other office stay behind.

On this page you learn:

  • what lives in the office and what in a meeting room,
  • why one customer's documents never show up for another,
  • how teams and consultants set up their offices.

How it works

Think of ancoreMind as a building with offices:

  • The Workspace is the office. It holds all documents of the team in the Library, the agreed definitions in the Knowledge base, the rules in the Rulebook – and its members. Whatever ancoreMind does, it works with what this office holds.
  • A Conversation is a meeting room. Each room is for one topic. It has the part of the documents its topic needs – its own folder in the Library, its own knowledge and rules if you like – and the people taking part. A room is open to all members of the office, or private for the people you invite.
  • Changing the Workspace is changing the office. You find a different set of documents, rules and people – nothing from the first office comes along. That is how the knowledge of one customer never ends up with another.
  • The office does not depend on the Qlik app. You take your office with you into every app, onto every tenant and every Qlik platform. What the data shows is still decided by your Qlik rights.

Your Personal Workspace is your own office – only you have the key. For work with others, open a Shared Workspace and invite your colleagues.

How to open, change and close an office is below; the meeting rooms are explained in Conversations.

How teams set up their offices

  • One office per team or department. Shared KPI definitions, a common Library of charts and reports, and meeting rooms everyone can join.
  • One office per project or customer. The requirements document, change requests, the agreed definitions and the customer's Rulebook stay together – and apart from every other project. Switching projects is switching the office.
  • Private meeting rooms in a shared office. Discuss a sensitive topic with two colleagues only – the rest of the office sees that the room exists, but not what is inside.

Talk to your colleagues, too

In a meeting room you talk to ancoreMind and to the people in the room. Switch the message box to Message members… to write to the people without asking ancoreMind. Drag a file into the chat or the Library, and everyone in the room can open it.

Work in several roles

Many Qlik consultants work for their consulting firm and, at a long-term customer, with the customer's own email address. With ancoreMind you do not have to sign out of anything to change roles:

The same Qlik app in two browser tabs – each with its own ancoreMind account and its own offices.

  • One account per tab. Open the customer's app in two tabs – one with your firm's account, one with the customer account. Switch accounts in a tab at any time. See One account per tab.
  • Your own office. Your Personal Workspace is your own storage – for drafts, reusable charts and notes that belong to no customer.

Your Personal Workspace – your own office

When you sign in for the first time, ancoreMind creates your Personal Workspace. Only you have the key – nobody else can see it. It is the right place for your own questions, drafts and files. For work with others, create a Shared Workspace and invite your colleagues.

Change the office

The bar at the bottom of the chat window shows where you are, for example Sales team › Q3 review. Select the Workspace to choose another one. Workspace › Workspaces – in the menu ☰ or on the left of the full view – shows all your offices; Search Workspaces finds one in a long list, and Include archived shows archived ones too.

Open a new office – create a Workspace

  1. Open the Workspace list

Open Workspace › Workspaces – in the menu ☰ or on the left of the full view.

  2. New workspace

Select New workspace at the top right, enter a Workspace name and select Create workspace. You are the Owner of the new Workspace.

  3. Invite members

    Continue with Members.

Rename, archive, leave a Workspace

Open the menu ⋮ of the Workspace in Workspace › Workspaces:

  • Rename changes the name for everybody – Owner and Admins.
  • Archive… moves it out of the list and withdraws its pending invitations. Nothing is deleted. Restore brings it back – choose Include archived to find it. Only the Owner archives and restores.
  • Transfer workspace ownership hands the office to another member – see Transfer ownership.
  • Leave workspace… takes you out of a Workspace you do not own.

Delete a Workspace – close the office

Only the Owner can delete a Workspace, and only after it is archived:

  1. Archive the Workspace with Archive….
  2. Turn on Include archived, open the menu of the Workspace and select Delete workspace….
  3. Type the name of the Workspace under Type the workspace name to confirm and select Delete workspace.

Its Conversations, messages and files are deleted for everyone. This cannot be undone. If deleting takes longer, the dialog shows Still deleting…; if it was interrupted, select Delete workspace again to finish it.
