Knowledge
Teach it once, and every answer uses it. Every company has its own words and rules: what active customer means, which revenue is the right one, how fiscal quarters are counted. Knowledge is how you teach ancoreMind these things once, so that every later conversation in the Workspace uses them.
On this page you learn:
- how your documents become Knowledge that every conversation uses,
- how to keep a fact from the chat,
- how to see where an answer comes from – down to the page.
How it works
There are two sources of Knowledge: documents you add to the Knowledge base, and messages you keep from the chat. ancoreMind finds the right passage when you ask a question and shows the source under its answer.
- How is "active customer" defined in our KPI handbook?
- Build the KPIs for the management sheet as described in the KPI handbook.
How ancoreMind should build – colors, fonts, number formats, titles, chart types – belongs in the Rulebook.

Documents in the Knowledge base
Upload a document to the Library – for example your KPI handbook, a data dictionary or project notes – and tick Add to Knowledge base: it becomes part of the Knowledge base of the Workspace. ancoreMind reads it, finds the relevant passages when you ask a question, and names the document as its source.
- Add to Knowledge base is off by default – in the upload dialog of the Library and when you attach a file in the chat. Supported documents are PDF, Word, PowerPoint, Excel and text files.
- A document you attach in the chat goes into the Knowledge base only with the tick, too. Without the tick, ancoreMind does not read the document; ask about it, and ancoreMind points you to the ⋮ menu of the attachment, where you can add it later.
- In the Library, use Add to Knowledge base or Remove from Knowledge base on any file to change this later.
While a document is processed, its row in the Library shows the progress – Queued, Extracting text, Updating search – usually for a few seconds. When it is ready, it shows In Knowledge base.
Keep a message as Knowledge
Facts often come up in a conversation – our fiscal year starts in April, region DACH includes Liechtenstein. Keep them with the Knowledge menu of the message:
| Action | Use it for |
|---|---|
| Add to workspace | A fact for all conversations of the Workspace. |
| Add to this conversation | A fact for this conversation only. |
| Save as rule… | An agreement on how ancoreMind should build or answer – it goes into the Rulebook. |
The message then shows In workspace Knowledge or In conversation Knowledge. Remove from Knowledge base in the same menu takes it out again.
Where an answer comes from
When an answer uses documents from the Library or the Knowledge base, a source strip under it lists them – Source 1, Source 2 and so on. The answer text itself carries no markers.
Select a source to see where the answer comes from: the file name and every passage that was used. For a PDF, Open at page N opens the document in a new tab at exactly that page; for a Word file you see the section. Show in folder opens the folder of the document in the Library.
The tab with the PDF is only valid for a short time. If it is empty when you come back to it later, select Open at page N in the chat again.
ancoreMind answers only from documents in the Knowledge base – a document attached without Add to Knowledge base is not read. You can also ask about a document itself, for example When and by whom was the KPI handbook uploaded? In the Library, Inspect provenance on a document shows which knowledge was taken from it.
Search the Knowledge
In the Library, switch the search field to Content to find facts, definitions and passages in your documents by meaning. See Find files.
If a document cannot be read
If the Library shows Knowledge processing failed, ancoreMind could not read the document – for example a password-protected file, a file without readable text, or a file that is too large (see Limits). Fix the file and upload it again, or select Retry processing.
